Context

A 22-person lower middle market private equity firm with no internal IT function received an LP information request regarding AI governance.

The firm could answer parts of the request, but it did not have a complete, documented view of how AI was actually being used across the organization. IT Ally® was engaged to assess the firm’s AI governance posture and establish the controls and documentation needed to respond.

The engagement had a narrow scope and a hard deadline. The immediate priority was answering the governance question properly.

Assessment

IT Ally® reviewed the firm’s AI usage, data classification, governance controls, and how firm information was actually being handled.

The assessment uncovered nine uncontrolled AI accounts across five users, all operating on free consumer tiers. Several users were using multiple platforms, including while working with confidential deal information.

Because the tools were free, they had not appeared through procurement, expense reporting, or normal license management processes.

IT Ally® moved quickly from assessment to remediation. A commercial enterprise AI platform was procured and deployed with centralized user management, audit trails, and data retention controls. Microsoft 365 integration kept authentication and offboarding connected to the firm’s existing credentials, and the uncontrolled consumer accounts were retired.

An acceptable use policy was also established covering data classification and handling, permitted and prohibited uses, model inventory, and retention.

The Results
